Job Summary:

Provides advanced administrative support and business management support.

Principal Accountabilities:

  • Maintains, and as appropriate, executes/coordinates functions during the absence of the senior management while keeping the individual abreast of daily activities
  • Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information and special requests and outgoing correspondence
  • Prepares and updates calendar and schedule of the Vice-President.
  • Schedules meetings, internal or external as requested by the VP.
  • Attends designated conferences and meetings and will be asked to discuss; assists with department related activities.
  • Reviews outgoing materials and correspondence for internal consistency and conformity with established procedures.
  • Performs routine administrative duties such as mailing, typing, filing and other duties assigned.
  • Assists department personnel with expense vouchers, reservations, lodging, airline, car rental and other administrative support.

    Knowledge & Skills:

  • Interacts professionally with all levels of employees and customers.
  • Works independently with good decision-making skills.
  • Demonstrates knowledge of various computer applications (i.e. Word, Excel, PowerPoint, Access, etc.).
  • Excellent communication and people skills.

    Physical Requirements:

    Living and working conditions at the assignment location could be remote and uncomfortable. Long hours, exposure to weather and hazardous conditions. Personnel should be aware of moving on short notice and under adverse conditions.

    Experience:

    Six (6) years of experience in a related field. Preferable as an executive administrative assistant.

    Education:

    High school diploma plus formal specialized training.
